Engagement bonus
Introduction
Bejarano ADF Consultants Group PLC grants its employees bonuses for i) sales closed and ii) quality project-management of Clients engagements. Please find below more information re terms and conditions re this policy.For now, the below is what is agreed amongst the Management Team. Over the coming weeks and months as bonuses are claimed and paid under this new system, the Management Team may need to add additional terms and conditions in this policy. If so, staff will be notified of the same.
Sales bonus of 5%
Employees closing sales are eligible to a sales bonus if the following criteria are satisfied:
- Our staff member gently guides our Client into engaging Bejarano ADF Consultants Group to supply services for a total invoice value of at least US$10,000 and;
- Our staff member can reasonably expect the margin on the above sales to be at least US$5,000 at the time of payment and;
- The staff member has completed and secured signatures of the “sales closed” checklist (click link) from all relevant parties no later than 1 month after the date of fee settlement by Client;
- The staff member, the line manager and the regional CEO agree in written if a one-minute sales video is needed.
Important note: A retainer fee is not deemed as a first payment. When a CRO is leaving Bejarano ADF Consultants Group PLC, no bonuses are payable on new sales during final month, unless the engagement is successfully completed before the employee’s departure.
The sales bonus is capped at i) 5% of the engagement profit margin and ii) US$1,500 (whichever is lower).
Additional services: If the Client engages Bejarano ADF Consultants Group for additional services after the first settlement, the corresponding amount for these additional services is included in the calculation of the sales bonus only if i) the Client has settled at least partially these additionally services within 60 days after first payment to Bejarano ADF Consultants and ii) the staff member claiming the bonus contributed to closing this new sale.
Procedure to claim the sales bonus
When you close a sale and the payment is confirmed as received by accounting:
- Complete the “sales bonus” checklist (click link) and send the same to your team leader for signature then;
- Upon signature, secure signature from Sharon then;
- Secure Aidan’s approval.
When these three steps are completed, Sharon will issue a cheque within 3 working days.
Claw-back of sales bonuses
During or after an engagement, partial clawback of bonus paid will occur when actual engagement margin is less than expected. This can happen: i) when supplier costs are higher than anticipated or ii) if Client demands a partial refund or iii) Client cancels a service or iv) Client refuses to pay outstanding fees.
Full claw backs of bonus paid can occur when:
- We i) receive a serious complaint from a Client, advising the CRO over-promised before payment and under-delivered after payment and, after investigation, i) we confirm this complaint is reasonable or;
- The CRO willfully closed a sale with a High-Risk Client that exposes Bejarano ADF Consultants Group PLC to reputation, litigation and financial risk without disclosing this risk to Compliance or;
- The CRO willfully inflated engagement margins for his own benefit or;
- Events happen during the engagement that cause total sales invoice value to fall below US$10k or the engagement margin falls below US$ 5,000. Examples of events include a) refunds or b) Client engagement is terminated or c) a professional service is cancelled or d) Client refuses to pay outstanding fees. To minimize the probability of the above from happening, the sales invoice should contain detailed notes explaining each fee, eliminating the risk of Client confusion and refund claims later.
Whenever possible, claw backs will be offset against additional bonuses earned from other engagements, thus no impact on CRO salary. If a CRO i) does not receive additional bonuses within 6 months or ii) discontinues employment with Bejarano ADF Consultants, claw backs will be deducted from salary.
Status of limitations: 3 months after i) all deliverables have been supplied and ii) the engagement completion email has been sent, all sales bonuses paid are deemed as final and the Company will not claw back any amount, unless unanimous consent between i) the line manager of the CRO ii) the 3 region CEOs of the Group and iii) the Chairman of Bejarano ADF Consultants Group PLC.
Engagement completion bonus
Employees earn an engagement bonus if the following criteria are satisfied:
- Our staff member timely completes the engagement while i) keeping the Client happy ii) regularly communicating with the Client iii) keeping Aidan, team leader and Client informed of problems and solutions; and
- Our staff member has prepared and uploaded a one minute video relating to that Client engagement;
- The supplier checklist (click link) and the Client file checklist (click link) are sent off for e-signature to all relevant parties no later than 2 months following settlement of the initial fees;
- The engagement completion checklist (click link) is sent off for e-signature by all relevant parties within 6 weeks following engagement completion (date engagement completion email is sent);
The Management Team reserves the right to decline approving an engagement bonus if staff fail to satisfy any one of the above 4 criteria.
Bonus calculation
The engagement completion bonus is 5% of the engagement profit margin. The bonus is capped at i) 5% of the engagement profit margin and i) US$1,500 (whichever is lower).
- The amount of reference for the bonus is the sum of all amounts paid by the Client during the first 12 months following the 1st fee settlement. Any payment corresponding to services rendered for the 2nd year is not included in the calculation;
- For the avoidance of doubt, fees payable for services renewal in “year 2” are never included for the calculation of the bonus;
- If a staff has not project-managed the entire engagement, the bonus payable is shared between the CROs who project-managed the engagement.
Conclusion
If you have queries, read the below FAQs and approach Aidan or your team leader. Over the coming weeks and months as bonuses are claimed and paid under this new system, The Management Team may need to add additional terms and conditions in this policy.
Some FAQ’s to help staff understand this policy:
Q1. If Aidan is heavily involved in closing a sale with a staff member, do I lose the opportunity to earn the bonus?
A1. No, staff still get their bonus, regardless of the amount of Aidan involvement. Because of his critical and significant involvement, Aidan may however want some of the engagement fees to be banked into his French multi-currency corporate bank account. This will not affect bonus calculation;
Q2. What if I close a sale for less than $10,000?
A2. If you closed the sale of less of US$10,000 and are not project-managing the engagement, you only receive a bonus if all the sales to the same Client during the first 2 months reaches $10,000 and assuming the margin exceeds US$5,000;
If you are also project managing the engagement, the bonus is the sum of all amounts paid by the Client during the first 12 months following the 1st fee settlement (assuming this amount exceeds US$10,000).
Q3. If I close a sale and the Client pays US$ 9,500 at the beginning of the engagement, but within 2 months later the Client reverts for more services, do I still earn a bonus?
A3. Yes, but only if i) the threshold of US$10,000 is reached no later than 2 months following the first settlement ii) the engagement margin is at least US$5,000 and iii) you contributed to the Client paying these additional fees;
Q4 . If I close a sale with a Client, but the engagement is given to another staff member to complete it; do I still get a bonus?
A4. Yes, you will receive 50% of the total bonus payable for the initial sale, capped at US$ 1,500. The staff who closed the sale will receive bonus at beginning of engagement independent of performance of project manager. If Bejarano ADF Consultants Group PLC must refund fees to a Client, the sales bonus will be clawed back from all staff;
Q5. I close a sale with a Client of US$10,000. Then, the engagement is given to another staff member and this staff sells additional services increasing the total invoice value to US$20,000. How is my bonus calculated?
A5. You will receive 50% of the bonus payable for the initial sales of US$10,000 (US$500 out of US$1,000 if, for simplicity purposes, we assume the margin is also US$10,000). The bonus payable on the additional services sold is entirely payable to the staff who is now project-managing the engagement, unless you can demonstrate you significantly contributed to the Client engaging Bejarano ADF Consultants Group PLC for additional services;
Q6. I made some errors and Aidan and / or my team leader had to get involved to save the engagement. Do I still get paid a bonus?
A5. Generally, no bonus is payable. However, if your performance for the remainder of the engagement is of high quality, then you may receive a bonus. The final decision rest with your manager, Aidan Healy and The Management Team;
